How are users counted in pricing?

A user in Easy Redmine is generally understood as an active user account managed in Administration >> Users. User accounts that are locked are not considered to be active users => they are not considered in the licence usage.

How to lock a user

To lock a user, go to Administration>>Users. Here, right-click on a selected user, and you will find the option to "lock" them.

A locked user does not count into the total number of users, such user will no longer be able to log in to the system. All their data are kept, however. You will see the user's name in task history, if he was assigned, or author of task etc. His name will not be clickable.

How to anonymize a user

If you need to remove a user's name from the system due to any reasons ( GDPR, contract), but still want to keep the data, you can use the anonymization of a user. 

This works separately to locking of a user.
All data regarding the user's personal details, will be removed, but the user will still be active. 

Their updates within tasks and projects are kept. These update will be aligned to a name "Anonymized user".

 After anonymization, lock the user, otherwise the user will still count into the number of active users, all this way you will keep the data without the user's personal details.

How to delete a user

You are also able to delete a user, however, with deletion all data connected to this user will be also lost, and without full data backup, you will not be able to get their data back.

We strongly recommend using the user locking option, when you need to lower the number of active users.

If authentication is not required - application can be accessed without logging in - the visitors are not considered users => not considered in the licence usage.

Help desk users (introduced in version 11+) are not considered in the licence usage.
