Easy AI – what service is processing my AI requests?

Easy AI assistants use the OpenAI language model hosted by Microsoft’s Azure OpenAI Service. Easy Software ensures that all instances comply with European regulations by using European data residency of Microsoft’s OpenAI service. Easy Redmine communicates with the OpenAI Service via secure API calls. 

As an Easy Redmine user, you do not need to enter into any agreement with Microsoft or pay for any subscription. This is covered by your Easy Redmine subscription (Fair Use Policy may apply). 

For clients seeking 100% on-premises data handling, including AI functionality, Easy Software offers also local LLM deployment, typically using the LLAMA model. Contact our sales team to discuss this option in further detail. 

Easy AI - Fair user policy 

At this moment, there are no hard limits on AI usage in Easy Redmine. However, Easy Software reserves the right to implement the following: 

Some AI-powered functionalities are provided as part of the product subscription at no additional charge. These features rely on third-party services (as per article 5.2 of Terms and Conditions), for which the Provider incurs costs. To guarantee service stability and prevent resource monopolization in compliance with regulatory requirements, the Provider may apply reasonable technical usage limits to AI features. These limits may include: 

  • Maximum number of AI requests per user or per account within a given period. 
  • Restrictions on automated, bulk, or script-driven requests. 
  • Prohibition of using AI features for purposes unrelated to the intended functionality or standard workflow of the service. 

The Provider reserves the right to monitor the usage of AI features to verify compliance with this policy and ensure system integrity, as well as to prevent abuse or excessive consumption. This includes monitoring usage metrics, including metadata. In the event that the Client’s usage significantly exceeds average patterns, impacts system performance, or violates established limits, the Provider may take proportionate measures in line with Digital Service Act procedural standards, which may include: 

  • Temporarily restricting access to AI features, including the speed or frequency of AI requests. 
  • Requesting the Client to reduce usage or transition to a paid add-on plan to cover excessive consumption, including applying additional charges for excessive use, subject to prior notice. 
  • Temporarily suspending all AI features in cases of critical system impact, subject to prior notice where feasible. 

Changes to Fair Use Policy: The Provider may update this Fair Use Policy from time to time to reflect changes in technology, costs, or legal requirements. Clients will be notified of any material changes.
